MDBB, a medical service based in Potsdam, was established for the federal states of Berlin and Brandenburg on May 1, 2021: The Medizinischer Dienst Berlin-Brandenburg (MDBB) – supports health and nursing care insurance companies in medical and nursing care matters. The more than 1,000 employees deal with the assessment of the need for care, quality assurance in healthcare facilities and advice on medical prescriptions and treatment errors. As a corporation under public law, the service guarantees a high quality of care for over five million people with statutory health insurance and thus prepares at least 505,000 expert opinions each year.

The current situation
The challenge in the project with Medizinischer Dienst Berlin-Brandenburg (MDBB) was to transform a planning process that was deeply rooted in the company’s history and was highly complex and non-transparent. The previous planning and forecasting activities were based exclusively on detailed, Excel-based methods that required a considerable amount of manual work. Despite these manual processes, MDBB’s planning accuracy was exceptionally high – a level of quality that had to be maintained even after the introduction of a modern, digital tool. Given the importance of a stable and reliable budget, it was crucial to establish a solution that would not only enable more efficient processes, but also continue to ensure the proven accuracy and provide a high level of transparency for all stakeholders.

Having already taken a significant step towards digitalization with the introduction of S/4HANA, MDBB now wanted to take the planning and forecasting process to a new level using the professional SAP Analytics Cloud solution.
The SAPlan24 project began: The first steps on our journey together started with capturing the current planning processes and content and, based on this, developing the core requirements for a new, modern, cloud-based planning solution. Taking into account current best practices in planning, we then designed a planning and forecasting solution tailored to MDBB’s requirements, which was implemented in the SAP Analytics Cloud within a few months.
The result: a fully integrated, cloud-based planning and forecasting solution consisting of several sub-plans that ensures process efficiency and transparency in planning. The use of data from the S/4 pre-system and a significant increase in efficiency through the automation of data integration, automated calculations and simple data entry are just some of the benefits of the new solution. The solution has made the process transparent in a modern, cloud-based planning environment and is easier to control than before.

As a long-standing partner, valantic has already successfully supported the MDBB during the introduction of S/4HANA and thus on its way to becoming the most digitized medical service in Germany. In a workshop lasting several hours, we therefore had the opportunity to discuss possibilities for digitizing financial planning in an SAP environment with the MDBB’s finance department and to get an overview of the current challenges in planning. Subsequently, the decision was made to establish SAP Analytics Cloud as the future planning solution for MDBB and to further expand the long-standing collaboration with valantic as part of the SAPlan24 project. We were able to convince them with our clear approach and methodology, which we were also able to demonstrate through the successful course of the project.

During the period from September 2023 to April 2024, valantic worked closely with the MDBB to revolutionize the planning and forecasting processes. Despite the challenges, we succeeded in implementing a solution that not only met the high accuracy requirements, but also significantly increased the efficiency and transparency of the planning processes. With the successful completion of the SAPlan24 project, valantic once again demonstrated its ability to transform complex requirements into practicable, future-oriented solutions.
